Google Sheets
Updated
On this page
The Google Sheets integration adds survey responses to a spreadsheet in your Google account: one response per row, one question per column. You choose which questions go to the sheet and when responses are sent.
Before you start
- Publish the survey. Until then, the integration page shows "Survey not published".
- Have a Google account ready. SurveyNinja gets access only to the spreadsheets it creates or you select in Google Drive, not to your other files.
Connecting a Google account
- Open the survey and go to the Integrations tab.
- Click Google Sheets in the list.
- Click Connect (1) and sign in to your Google account in the window that opens.
- On the Google screen, allow all the permissions SurveyNinja asks for and confirm.

If you uncheck a permission on the Google screen, SurveyNinja can't create or connect a spreadsheet and shows an error that asks you to reconnect the account.
If a Google account is already connected to SurveyNinja, choose it in Select account instead. To use another one, choose Add new account.
Choosing a spreadsheet
To create a new spreadsheet:
- Open Create a new spreadsheet (1).
- Enter the spreadsheet title (2), for example the survey name.
- In Select questions (3), keep the questions whose answers should go to the sheet.
- Click Create a spreadsheet (4).
SurveyNinja creates the spreadsheet in your Google Drive and fills in the header row.
To use a spreadsheet you already have:
- Open Use the existing one.
- Click Choose from Google Drive and select the spreadsheet. Sign in with the same Google account you connected to SurveyNinja.
- Select the questions and click Connect spreadsheet.
SurveyNinja adds a new sheet named after the survey to this spreadsheet. Your other sheets stay as they are.

In the Real time mode, responses collected before you connect the spreadsheet aren't added. To add them, use Sync now in the Manual mode (see below).
What goes to the sheet
The first row holds the column headers. Each completed response is one row with these columns:
- ip, browser and date: the respondent's IP address and browser, and the date and time the row was written to the sheet.
- One column for each selected question.
- One column for each hidden variable.
- The time the response was completed and the time the respondent spent on the survey.
If the survey is an Anonymous survey, the ip and browser columns stay empty.
Sync settings
After you connect a spreadsheet, the integration page shows its settings. The link to the spreadsheet is at the top.

Sync mode (1) sets when responses go to the sheet. A new integration starts in the Real time mode.
| Mode | How it works |
|---|---|
| Real time | Each new response is added right after it is submitted |
| Scheduled | Once a day, at the time you set in Sync time, responses that aren't in the sheet yet are added |
| Manual | Responses that aren't in the sheet yet are added only when you click Sync now |
Last sync shows when data was last sent. In the Manual mode, the Sync now button (2) appears next to it. It sends all completed responses of the survey, including the ones collected before you connected the sheet. Responses that are already in the sheet are not added again. The sync runs in the background: SurveyNinja shows "Manual sync queued", and Last sync updates when the sync finishes.
In Question list, click the edit icon (3) to change the questions, then click Apply.
In Additional, the switches (4) control the service columns. Both are on by default:
- Timestamp: the date column, the completion time and the time spent.
- Respondent ID: the ip and browser columns. Despite the name, this switch doesn't add a separate respondent ID.
When a switch is off, the columns stay in the sheet, but new rows leave them empty.
Unlinking the spreadsheet
- At the bottom of the integration page, in Unlink account, click Unlink.
- In the Remove integration window, click Remove.
The integration settings are reset and responses stop going to the sheet. The spreadsheet itself and your Google account connection stay as they are. To revoke SurveyNinja's access to your Google account completely, remove SurveyNinja from the apps connected to your Google Account.
Limits
- A Google spreadsheet holds up to 10 million cells. For a survey with many responses, start a new spreadsheet before you reach the limit.
- In the Scheduled mode, responses are sent once a day.
- Only completed responses are sent. Incomplete responses don't go to the sheet.
If something doesn't work
- New responses don't appear in the sheet. Check Sync mode. In the Scheduled mode, responses arrive once a day at the Sync time. In the Manual mode, they arrive only after you click Sync now.
- "Access to the linked Google Sheet is restricted." The spreadsheet was deleted or its access changed. Click Choose from Google Drive and select the file again.
- "The table is not available to the connected account." The spreadsheet was selected under a different Google account. Select it again under the account connected to the integration, or reconnect the integration.
- "Google account … is connected with insufficient permissions." Some permissions were unchecked on the Google screen. Reconnect the Google account and allow all requested permissions.
