Response rate = (Completed responses / Invited) × 100%. Only fully completed surveys count, not partial.
Why response rate matters
Low response rate increases cost and can cause nonresponse bias — respondents may differ from non-respondents.
How to improve response rate
Short surveys, personalization, clear topic, mobile optimization, reminders, incentives (discounts, draws) all help.
Planning sample size
If you need 400 responses and expect 20% response rate, invite at least 2000 people. Add 10–20% buffer for lower response.

What to avoid
- Guessing response rate Better to measure on a pilot or from a previous send. Otherwise you may run short of invites or overpay for extra contacts.
- Confusing response rate and completion rate Response rate = share who completed out of invited. Completion rate = share who completed out of those who started. Track both but do not substitute one for the other.
- Not allowing for refusals Aim for 10–20% extra on top of target responses for dropouts and invalid responses.
- Ignoring segments Different channels and audiences have different response. Estimate response rate by segment and plan invites separately.
